ASHEPA is a pan-African, membership-based, non-profit professional association that brings together Safety, Health and Environment (SHE) practitioners from across Africa and beyond. ASHEPA exists to connect professionals, share knowledge, and promote practical standards, education, and advocacy that advance safer workplaces, healthier communities, and sustainable environmental stewardship across the continent.

 

With a growing and diverse membership community spanning multiple countries and sectors, ASHEPA provides a strong continental platform for professional collaboration, capacity building, networking, and shared action. As part of this expanding continental mission, ASHEPA is inviting committed and passionate professionals from Africa and the Diaspora to serve as online volunteers in support of the administration, coordination, and implementation of the Association’s activities.

Volunteer Engagement Overview

General Requirements for All Volunteers

Required Application Documents

  • Updated Curriculum Vitae (CV).
  • Cover letter indicating the position applied for.
  • Proof of education (certificate, diploma, degree, or professional qualification).
  • Proof of work experience or other evidence of relevant professional or volunteer experience.

Added Advantage

  • Experience working with Associations, Professional Bodies, NGOs, or Non-profits.
  • Experience serving in leadership, management, executive, or coordination roles.
  • Experience in membership administration, communications, training, events, partnerships, finance, digital media, or volunteer coordination.
  • Professional background in Safety, Health, Environment, or related fields.

1. Volunteer Operations Coordinator

Required Qualifications

  • Degree, diploma, or equivalent in administration, management, social sciences, business, or a related field.
  • Experience in coordinating teams, programs, or projects.
  • Strong leadership, planning, and reporting skills.
  • Experience with online collaboration tools is an advantage.

Key Duties

  • Coordinate day-to-day online administrative activities of ASHEPA.
  • Follow up on tasks assigned to volunteer teams and committees.
  • Prepare monthly operational updates for the Executive.
  • Track progress of activities and support timely implementation.
  • Identify operational challenges and recommend practical solutions.
  • Promote smooth communication between the Executive and volunteer teams.
  • Work closely with Registration and Membership (Growth) Committee

2. Administrative Secretary

Required Qualifications

  • Training or experience in administration, secretarial work, office management, or a related field.
  • Strong writing, documentation, and record-keeping skills.
  • Attention to detail and ability to prepare professional correspondence.

Key Duties

  • Prepare meeting agendas in collaboration with leadership.
  • Take minutes during online meetings and circulate them promptly.
  • Maintain official records, files, and administrative documents.
  • Draft letters, notices, and internal communications.
  • Track action points and follow-ups from meetings.
  • Support general online office administration.
  • Work closely executives committee

3. Social Media and Digital Content Officer

Required Qualifications

  • Experience managing social media pages and digital platforms.
  • Skills in content writing, basic graphics, or online engagement.
  • Knowledge of Facebook, LinkedIn, X, Instagram, WhatsApp, and related platforms.

Key Duties

  • Manage ASHEPA’s social media platforms.
  • Create and publish engaging online content regularly.
  • Promote programs, trainings, webinars, and announcements.
  • Respond to basic online inquiries or direct them appropriately.
  • Prepare monthly digital engagement reports.
  • Communications, Media and Public Awareness Committee

4. Website and IT Support Officer

Required Qualifications

  • Background or experience in IT, website management, systems support, or a related field.
  • Ability to manage online platforms and troubleshoot basic technical issues.
  • Knowledge of website updates, email systems, and digital tools.
  • Cybersecurity awareness is an advantage.

Key Duties

  • Manage ASHEPA’s social media platforms.
  • Create and publish engaging online content regularly.
  • Promote programs, trainings, webinars, and announcements.
  • Respond to basic online inquiries or direct them appropriately.
  • Prepare monthly digital engagement reports.
  • Communications, Media and Public Awareness Committee

5. Programs and Projects Officer

Required Qualifications

  • Experience in project coordination, program implementation, NGO work, or association activities.
  • Strong planning and organizational skills.
  • Ability to work with timelines and deliverables.

Key Duties

  • Support planning and implementation of ASHEPA programs and projects.
  • Develop activity plans and track project milestones.
  • Work with committees to ensure successful delivery of initiatives.
  • Prepare progress reports on program activities.
  • Support monitoring of outputs and outcomes.
  • Work closely with Acting Program Director

6. Finance and Records Officer

Required Qualifications

  • Background or experience in accounting, finance, bookkeeping, or financial administration.
  • Good numerical and record-keeping skills.
  • Integrity and confidentiality in handling financial information.

Key Duties

  • Maintain proper financial records for volunteer-supported activities.
  • Support tracking of income, expenditures, and operational costs.
  • Prepare simple financial summaries and reports for leadership.
  • Support systems for membership renewal fee tracking when introduced.
  • Assist with budgeting and financial reporting.
  • Work closely with Finance and Records Committee

7. Monitoring, Evaluation, and Reporting Officer

Required Qualifications

  • Experience in monitoring and evaluation, reporting, project tracking, or performance management.
  • Good analytical and documentation skills.
  • Ability to design simple tools for tracking progress.

Key Duties

  • Develop simple systems to track volunteer and program performance.
  • Collect and analyze activity data from teams and committees.
  • Prepare monthly and quarterly performance summaries.
  • Help identify successes, gaps, and lessons learned.
  • Assist in preparing impact reports for the Association.
  • Work closely with Steering committee

8. Documentation Officer

Required Qualifications

  • Experience in documentation, archives, records management, or information management.
  • Strong organizational skills.
  • Good writing and filing ability.

Key Duties

  • Organize and maintain ASHEPA’s digital records and institutional documents.
  • Archive meeting minutes, reports, publications, and official records.
  • Create systems for easy retrieval of information.
  • Support preservation of institutional knowledge.
  • Maintain a structured online filing system for the Association.
  • Work closely with Acting Program Director

9. Graphic Designer

Required Qualifications

  • Experience in graphic design, branding, or visual communication.
  • Ability to use design tools such as Canva, Adobe tools, or equivalent.
  • Creativity and attention to detail.

Key Duties

  • Design flyers, banners, and promotional materials.
  • Support branding for ASHEPA activities and campaigns.
  • Ensure visual consistency across communication materials.
  • Assist with branded templates for reports, presentations, and announcements.

10. Video Editor and Multimedia Content Officer

Required Qualifications

  • Experience in video editing, multimedia production, or digital content development.
  • Good knowledge of modern editing tools such as Adobe Premiere Pro, CapCut, Final Cut Pro, DaVinci Resolve, Filmora, Canva, or similar software.
  • Ability to create professional videos for online communication, publicity, training, and events.
  • Basic skills in motion graphics, subtitles, transitions, audio editing, and branding are an advantage.

Key Duties

  • Edit and produce videos for programs, campaigns, webinars, trainings, and announcements.
  • Create short promotional videos for social media and public awareness.
  • Develop video highlights from meetings, events, and professional activities.
  • Add intros, outros, subtitles, logos, and branded visual elements to ASHEPA videos.
  • Organize and maintain a digital library of video materials and media assets.
